Here's what to
have handy.
Your P&L does most of the work. Paste it or upload it, and every line gets read and sorted for you — you'll look it over before any of it counts.
Your most recent P&L
Whatever your accounting software exports. A partial year is fine — we know the dates automatically.
for you
Then a few more numbers
These aren't on your P&L, so let's have a conversation. We've grouped them by where you'd go to find them — nothing here needs a report you don't already have.
Your lease or floor plan
- Total square footage of the office
- Square footage of the optical — the dispensary only
Payroll
- Total staff and non-owner doctor wages, not counting owners
- The optical share of those wages
- Owner compensation — salary plus net profit, what you actually take
- Health insurance for your optical employees
Your practice-management system
Patient encounters for the year, and how many of those didn't earn anything. Revenue from materials — frames, lenses, contacts. Then how your patients split between vision and medical care, who pays out of pocket versus who's on a plan, and what each side is actually worth.
You
- Hours a year your doors are open — capacity, not booked time
- Full-time-equivalent doctors
- What you want services to earn you — a goal, not today's number
We'll also ask what your vision plans pay per exam — after your statement is read, so you already know what an hour costs before you look at a contract. If you'd rather not go through them, leave that step blank and everything else still works.
